Hello, how can I help?

How to Impersonate an Account

This article will show you how you can impersonate an account and why would you want to do so.

You would want to impersonate an account for several reasons.

One of which is when an applicant is having issues completing their form or to add some changes on the applicant's form or to replicate an issue that they are having on it - like having an issue progressing to the next step or when they encounter a question with no dropdown option that is applicable to them and other reasons.

The Impersonate button lets you access the applicant account and make changes that the applicant can make.

To impersonate an account, go to the applicant's profile and look for the "impersonate" button on the actions section.

The next page will then show you the student homepage from the perspective of the applicant. Click on "update"  or "continue  application" to access their form.

What staff can change while impersonating

On the student profile, select the "Impersonate" button to view the account as the student.

Impersonation uses the student’s access. You can complete or update only the parts of the application that the student can change. It does not add staff permissions.

Can impersonation change locked grades?

No. When an application form prevents internal students from adding or editing grades, the grade controls stay unavailable while you impersonate that student.

To overwrite a verified grade, use the staff grade action. Applicaa ends impersonation before it opens that staff-only action.

How verified grade changes are audited

After a staff member overwrites a verified grade, the student record shows "Verified grade changed". The record identifies the subject, the previous grade, the new grade, the staff member, the date and the time.

If a staff member removes a verified grade, the record shows "Verified grade removed" with the subject, grade, staff member, date and time.

What it does not do

  • Impersonation does not add staff permissions or bypass the application-form grade lock.

Questions staff ask

Could a staff member impersonating the student have amended locked grades?

No. The grade lock applies to the student account during impersonation. A verified-grade overwrite happens only after Applicaa returns to the staff account, and the student record shows who made the change.

Ask Emma or contact the Applicaa helpdesk if you need help to investigate a record.
